This Privacy Policy explains how KeepMD (“KeepMD”, “we”, “us”) handles information when you use the KeepMD mobile application (the “App”).

Important: KeepMD helps you organize personal health records. KeepMD is not a healthcare provider and does not provide medical advice.

1) Information Stored in the App

KeepMD is designed as a local-first app. You can store health records, including lab results, medications, documents, and notes.

Health records are stored locally on your device.
You control export and sharing actions initiated from the App.
When you choose to export, you control where exported files are sent.

2) KeepMD Vision and KeepMD Intelligence

KeepMD Vision (Document Extraction)

KeepMD Vision is a cloud-processing feature routed through the KeepMD Cloud proxy.

Vision requests are sent only after required consent steps.
The app communicates with the KeepMD Cloud proxy, not directly with model providers.
PDF files are preprocessed into page images before Vision processing.
If cloud Vision is disabled, scan surfaces fall back to manual entry flows where applicable.

KeepMD Intelligence features are Apple on-device first when available. Cloud fallback may be used only when enabled and consented.

On-device Apple capabilities are preferred when available.
Cloud fallback is routed through the KeepMD Cloud proxy.
Cloud fallback is gated by feature flags and user consent settings.

3) Analytics and Diagnostics (Optional)

If you enable “Help improve KeepMD”, the App may send privacy-filtered usage analytics and diagnostic telemetry.

Analytics and diagnostics are optional and can be turned off.
Events are designed to exclude personal health info.
The app uses redaction and filtering rules to reduce accidental sensitive payloads.
These services may receive an anonymous app-install or service identifier together with app version, platform, and event metadata.

4) Subscription and Quota Metadata

For cloud-enabled features and subscriptions, KeepMD may process limited service metadata to:

Enforce plan limits
Prevent abuse
Support billing and entitlement checks

This metadata may include an anonymous installation or service identifier, app version, platform, and feature usage counters. KeepMD and its service providers may use this metadata for subscriptions, cloud session/auth, quota enforcement, fraud prevention, and abuse detection. It does not require your name or email to function.

KeepMD may use service providers to operate analytics, diagnostics, subscriptions, and cloud processing infrastructure.

We do not sell your data.
We do not use your data for third-party advertising.
Cloud processing is used only for product features you enable.

6) Data Retention

On-device records remain until you delete them, reset app data, or uninstall the App.
Optional analytics/diagnostics data is retained according to operational retention windows.
Quota and subscription metadata may be retained for billing-cycle reconciliation, abuse prevention, and audit needs.

7) Your Choices and Controls

You can control key privacy settings in the App, including:

Analytics opt-in/opt-out
Diagnostics opt-in/opt-out
Cloud Vision and consent settings
Security and lock settings
Screenshot/screen recording protections

You can also manage OS permissions (camera, photos, HealthKit) from iOS Settings.

8) Security

KeepMD uses technical and organizational safeguards designed to protect data, including encrypted transport for cloud requests and local security controls in the app. No system can guarantee absolute security.

9) Children

KeepMD is not directed to children under 13. If you believe a child has provided personal information inappropriately, contact us and we will review the request.

10) International Use

If you use KeepMD from outside your home jurisdiction, your information may be processed in regions where our infrastructure or service providers operate, subject to applicable safeguards.
